DQF PORTAL Refund Policy
Effective Date: January 30, 2026
1. Applicability
This policy applies to all subscriptions and DQF (Driver Qualification File) slot purchases made through DQFportal.com.
2. Subscription Billing
DQF PORTAL operates on an annual subscription basis. Subscriptions are billed in advance for the number of DQF slots requested.
3. Per-DQF Slot Commitment
- No Partial Refunds: When a DQF slot is purchased, it is for the full annual term. If a driver leaves your company mid-year, you may "archive" that driver and reuse the slot for a new driver, but we do not provide prorated refunds for unused slots.
- Additions: New DQF slots added during a billing cycle will be charged a prorated amount for the remainder of the current annual term and will renew at the full rate thereafter.
4. Cancellation
You may cancel your subscription at any time via your account or by emailing Support@DQFportal.com.
- Timing: To avoid being charged for a subsequent year, you must cancel at least 72 hours before your renewal date.
- Access: Upon cancellation, you will retain access to your files until the end of the current paid term. Important: You are responsible for exporting all required compliance records before your access expires.
5. Non-Refundable Fees
All fees are non-refundable except where required by law. This includes:
- Accidental purchases of extra DQF slots.
- Drivers failing to complete their application or road test.
- Carriers failing a DOT audit (DQF PORTAL provides the tools, but compliance execution is the carrier's responsibility).
6. Discretionary Refunds
We may, at our sole discretion, issue refunds in the following limited cases:
- Duplicate Billing: Technical errors resulting in multiple charges for the same service.
- System Outages: Prolonged, verifiable platform downtime that prevents compliance management.
- Trials: Charges resulting from a failure to cancel a free trial, provided the request is made within 48 hours of the charge and no driver files have been processed.
7. Chargebacks
Initiating a chargeback with your bank without first contacting our support team may result in the immediate suspension of your account and the loss of access to all stored driver files.
8. How to Request a Review
Email Support@DQFportal.com with:
- Account email and DOT Number.
- Detailed description of the issue.
- Relevant transaction IDs or dates.
